Position Overview:

Institutional Advancement is a dedicated team supporting Hellenic College Holy Cross’ advancement activity through front-line fundraising, alumni and volunteer engagement, technology, donor management and research, prospect management, business process, events, communications, and many other areas. The ideal candidate will have strong administrative experience, customer service skills, and familiarity with development (fundraising) activities. The ability to triage and prioritize day-to-day tasks effectively is essential for success in this role.

Position Description:

Partnering closely with the Vice President for Institutional Advancement (VPIA), the Development Associate Office Manager will support the work of the Institutional Advancement Team. In addition, this role will work with the Advancement Team to attain its annual goals and priorities through various projects designed to recruit, educate, and inspire the support of alumni, donors, and volunteers.

This work includes, but is not limited to:

  • Supporting the Annual Giving communications, mailings, and donor solicitations.
  • Managing screening lists and solicitation assignments.
  • Preparing materials for calls and meetings.
  • Managing communications and messaging.
  • Researching current and prospective donors and preparing briefs.
  • Supporting the VPIA and other members of the Advancement Team in the planning and execution of events and activities.
  • Supporting ad hoc projects on behalf of the VPIA and the Director of Annual Giving (DAG).
  • Providing additional support for the broader IA Team and Alumni as needed.
  • Making outbound calls to assist with donor engagement and office communications.
  • Preparing and managing correspondence, ensuring timely responses.
  • Opening, sorting, and distributing incoming mail.
  • Ensuring accurate and timely recording and coding of contributions.
  • Triaging and prioritizing daily tasks and requests to ensure efficient workflow within the office.
  • Maintaining electronic and paper filing systems, including data entry and updating files.
  • Supporting the organization and execution of events, including administrative logistics.
  • Processing credit card payments and handling confidential financial information.
  • Providing excellent customer service to donors, alumni, and other stakeholders.

Qualifications:

  • Minimum of 2 years of experience as an administrative assistant or in a clerical role.
  • Proven customer service experience.
  • Strong organizational and data entry skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation, spreadsheet management, presentations, and email communication.
  • Familiarity with Google Workspace (Docs, Sheets, Slides, Drive) for collaboration and cloud-based file management.
  • Experience with donor management and CRM software (e.g., Raiser’s Edge, Salesforce, DonorPerfect) for tracking and managing donor information.
  • Ability to maintain and update institutional databases accurately and efficiently.
  • Ability to triage and prioritize multiple tasks effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Knowledge of development (fundraising) activities is a plus.
  • Familiarity with higher education and the Greek Orthodox Church is a plus.
  • Must be able to work occasional evening and weekend hours.

Work Environment:

This is a hybrid position with approximately three days per week being on-site at the Hellenic College Holy Cross campus and two days per week remote. The position is 40 hours per week.

Compensation: Commensurate with experience 

This is a full-time salaried position with a benefits package which includes immediate participation in a group healthcare plan, company paid dental, life insurance, short term and long term disability and immediate eligibility to participate in the company’s 403b retirement plan. 

Selection for the position will also require a background check in order to be in compliance with our campus Youth Safety Program.
