Office Administrator
Job Summary
The office administrator works closely with the priest and the parish council as well as the parishioners to provide support and assistance in various areas of church life. The ideal candidate will have excellent communication, problem-solving, and time management skills, as well as a strong attention to detail and a willingness to learn and take on new tasks.
Responsibilities
- Manage and coordinate the communication and outreach efforts of the church, such as preparing and sending out mailings, newsletters, bulletins, and announcements
- Provide administrative support to the church staff, such as scheduling meetings, managing supplies, and organizing events
- Ensure proper operation of printers, copiers, computers, scanners, folding machines and other office equipment used at the church; coordinate maintenance and repair services as needed
- Maintain church membership records in ParishSOFT and process member record updates (e.g. births, deaths, change of address, etc.); and assisting with financial and accounting tasks
- Prepare and distribute the weekly bulletin and any special church announcements via email, website, and social media
- Update the church’s website with the latest information, events, and resources.
- Receive and send out all church communications via email, phone, and postage and organize them in designated folders and categories
- Prepare and send out memorial donation thank you letters and order koliva for memorials and coordinate coffee hour sponsors
- Bookkeeping for receipt of all checks, cash, and online giving received and prepare reports for the finance committee
- Update the church calendar and sync it with the MinistryOne ParishSOFT app
- Order any supplies or materials needed for the church office and the community hall
- Organize the computer files and the hard copy documents in the back-office filing cabinets
Qualifications
- High school diploma or equivalent required; Bachelor’s degree preferred
- 3-5 years relevant work experience in office management, administration, or customer service is preferred
- Experience with ParishSOFT church management software or similar is a plus
- Flexibility and adaptability to changing needs and priorities
- Friendly and professional demeanor
- Strong attention to detail and accuracy as well as a willingness to learn new things
- Knowledge and proficiency with general office equipment (e.g. digital phone system, copy machine, folding machine, etc.)
- Excellent communication skills, both verbal and written
- Ability to maintain confidentiality and use discernment
- Knowledge of the Orthodox Christian faith and culture is preferred
- Ability to speak Greek is preferred
Compensation and Hours
- 20 hour/week
- $20/hour commensurate with experience
