The Hellenic Orthodox Community of Astoria, comprised of St. Demetrios Cathedral, Sts. Catherine and George Church and St. Demetrios Greek American School (“St. Demetrios”), is a historic community of the Greek Orthodox Archdiocese of America located in the heart of Astoria, Queens. St. Demetrios conducts liturgical and sacramental activities at both St. Demetrios Cathedral and Sts. Catherine and George Church. It also operates the largest Greek Orthodox day school in the US and the only High School of the Greek Orthodox Archdiocese. Students are enrolled from pre-kindergarten to twelfth grade. St. Demetrios also owns a building that is nearing completion and is slated to be a multi-purpose facility offering a daycare center on the bottom floors and market-rate apartments on the upper floors. 

Job Description

The Hellenic Orthodox Community of Astoria is seeking to hire an administrator responsible for the operations of the St. Demetrios and Sts. Catherine and George’s campuses. Responsibilities include overseeing facilities maintenance, capital improvements, and administrative areas such as human resources, information technology, finance, and office management. This position will also oversee the St. Demetrios Greek American School (“School”), working closely with the Superintendent, Principal, and School Board Chairmen.

Responsibilities

Direct the daily business operations of St. Demetrios, including coordinating human resources, finance, information technology, and office management, working closely with the Proistamenos of St. Demetrios, the Superintendent and Principal of the School, and the staff of St. Demetrios. The Administrator also has overall responsibility for maintaining the facilities and any necessary capital improvements. The Administrator reports to the Parish Council of St. Demetrios and keeps the School Board informed of matters that pertain to their function. 

Human Resources

Responsible for recruiting personnel, excluding clergy and faculty of the School. Onboarding of personnel, including employment letters, background checks, compensation and benefits, and orientation and offboarding, including the termination process, exit interviews, and payroll changes. 

Human resource functions include performance management, benefits administration, monitoring of non-exempt hours worked policies, and employee relations.

Information Technology

Direct the outsourced IT vendor on systems operations, including connectivity, website management, and cybersecurity. Assess computer and peripheral needs to service the employee base. 

Finance

Oversee the work of the Controller, including budgets, cash management, forecasting, interim financial reporting, and general accounting. Implement procurement policies and manage vendor relations. Oversight of banking relationships, working closely with the Treasurer of the Parish Council, and developing and implementing adequate internal controls over cash receipts, disbursements, and payroll.

Office Management

Oversee the facilities and maintenance staff to ensure timely repairs and maintenance, efficient building operation, and vendor relationships and contracts. Ensure that facilities are effectively utilized, given the various needs of the parish and the School. Seek opportunities to operate the facilities cost-effectively, efficiently, and in an eco-friendly manner. 

Oversee the office administrative staff, including staffing and effective parish administration, parishioner engagement, list management, scheduling, etc.

St. Demetrios School

Responsible for working with the Superintendent and Principal on financial management and long-range planning, including the operating budget and capital improvement needs. Participates in matters related to the School, including procurement, facilities management, budgets, and employee relations and management. He must be adept at handling emergencies or crises, such as safety threats, public health issues, or natural disasters, along with the superintendent and the principal of the school, ensuring the safety of the students and staff.

Ensures compliance, including NYC and NYS Department of Education reporting for Universal Pre-Kindergarten, Special Services, and other programs, is completed accurately and in a timely manner. 

Multi-Purpose Facility

Works with the Parish Council to determine the highest and best use of the facility's bottom levels, including the potential for a daycare center. Identifies an operator or self-operates the facility, including hiring an operator, marketing, and maintaining it. 

Works with the leasing agent to ensure the building is fully leased and with the property manager to address vendor issues and maintain tenant relationships. 

Skills

  • Organizational and administrative skills required.
  • Results-oriented – must be able to design, implement, and deliver processes and procedures.
  • Communications skills, including Greek language proficiency, are required. Must be able to communicate up, down, and across the organization.
  • Critical thinking and multi-tasking are required.
  • Computer skills, including Excel and Word.

Experience

  • Operating and management experience – 7 plus years.
  • Educational or private school experience in NYC is a plus.
  • Facilities management experience preferred.

Compensation

Salary commensurate with experience – range of $100-125,000 plus benefits including medical insurance, generous vacation, and holiday schedule.
