Office Administrator

This position reports to the Presiding Priest and the Parish Council. The position’s responsibilities include general office management, recordkeeping, vendor and payments management, and management of activities calendar.

Essential Duties and Responsibilities of the Office Administrator

  • Plan, direct, and coordinate all activities of the church office.
  • Answer and screen all incoming calls and route them to the appropriate personnel or record complete and accurate messages.
  • Open and route all mail and email correspondence.
  • Maintain an orderly office and filing system so that Parish records are accessible.
  • Maintain the church’s activities calendar, including scheduling sacraments (e.g., weddings, baptisms, funerals, and memorial services). Serve as the liaison between Presiding priest, families, and third parties (e.g., funeral directors, wedding planners, valets, and florists).
  • Publish the weekly church bulletin prepared with the Presiding Priest and the Parish Council.
  • Maintain the church website, updating with the weekly sermons, bulletins, and events.
  • Maintain the church’s social media sites.
  • Respond to information requests and prepare the necessary paperwork.
  • Maintain the office supplies inventory, and order supplies, as necessary.
  • Assist in planning and communicating parish elections, meetings, presentations, and events.
  • Oversee periodic mailings to the community’s parishioners.
  • Maintain the parishioner stewardship database.
  • Work closely with the Parish Treasurer to prepare cash receipts, bank deposits, and vendor payments and enter all cash receipts, payables, and payment transactions into QuickBooks.
  • Provide confidential and quality service to parishioners in need of pastoral care through empathetic listening and timely referral to the Presiding Priest and/or Ministry leaders.
  • Maintain the sacramental register and records as per church protocol.
  • Coordinate building maintenance with the Parish Council and vendors.

Required Knowledge, Skills, and Abilities

  • Able to work independently, self-motivated, dependable, respectful, punctual, gracious, and fully committed to the mission and ministries of the church.
  • Excellent computer skills with a good working knowledge of Microsoft Word, Excel, Power Point, Desktop Publisher and QuickBooks or comparable software. Ability to do website and social media publishing.
  • Must be able to multi-task and meet deadlines.
  • Must exercise exceptional judgment in dealing with sensitive and personal issues.
  • Must have excellent people skills.
  • Must be able to communicate effectively both verbally and in writing in English.
  • A conversational knowledge of Greek is preferred.
  • Must be an U.S. Citizen or legal resident.

Education and Experience

  • High school diploma or GED equivalent required.
  • Associate degree or bachelor’s degree preferred.
  • Prior clerical or administrative experience is preferred.

Work Environment

Majority of the candidate’s time will be spent in the church office with daily inspection of the physical premises to identify any issues and to evaluate the performance of all vendors and other employees.
